Planning a Board Meeting – Key Points to Remember

Making sure that the details are correct when planning a board meeting is important to ensure a productive session. Board meetings usually have specific deliverables like board reports, strategic discussions and the ability to make decisions. Here are some key points to keep in mind when planning your meeting.

Verify all attendees’ attendance plans on the day prior to your board meeting. Plan how you will provide the equipment or links to remote directors that may be required to attend the meeting via video call. Check that the meeting room is available, and make sure that you have all the supplies or catering.

Create a rough agenda based on the information from your board package and any concerns or requests from the chair of the board, CEO and executive directors. You can avoid last-minute scrambles by having a draft agenda prepared before the meeting.

The first item on the agenda should be a review of the company’s performance since the last board meeting, focusing on important milestones and achievements as well as areas on which the business might need to focus more attention. Consider ways the company could move forward with new strategies for growth. This could involve discussing possible new markets, customer support policies and investor relations, or even hiring new employees.
